The handling of addresses within organisations can often be haphazard. Any system that holds the details of people or organisations will usually also hold their address, which can range from Excel and Outlook to sophisticated membership and eCommerce systems. |
Typically the means of storing these addresses is inconsistant and does not follow a standard and as with contacts, most of these addresses are duplicated across the systems and will rarely be up to date. Some systems will use more structured address date such as the Postcode Address File (PAF®) to validate addresses on point of entry, however, these are rarely propagated to other systems and also changes in address data can take considerable time to filter through.
This lack of management leads to correspondence going to the wrong place, duplicate addresses and numerous other issues that cause a decrease in efficiency and a loss of money.

This leads to far greater efficiencies as the work of maintaining each system's addresses, which would previously have been repeated in each department, need only be performed by one person/team. |
Not only does the use of web services increase efficiency, but can provide significant financial savings. Currently, many company departments will budget for their own requirements and as such pay individual licenses costs for the address data that they use. With web services there is only ever one license and therefore only ever one invoice to pay.

Geocoding

Geocoding allows you to view customer information spatially i.e. on a map. By using address data from the NLPG, you will have the ability to analyse customer trends in ways previously unimaginable. Geocoding allows for simply viewing all customers spatially to determine how near/far their are from your premises, to viewing spatially those customers that have responded to a particular offer etc. From an efficiency point of view, a common use would be to better plan delivery routes. |
Since most companies will hold data relating to the different aspects of their business in different systems, the process of geocoding enables the attributing of geographical coordinates to different records throughout your company, in turn opening opening up all your data to greater levels of analysis.

One of the simpliest ways to ensure that everyone in an organisation is using the same address is to ensure that they all share a unique reference. Every entry in the NLPG contains a Unique Property Reference Number (UPRN) and the process of data matching can be used to ensure that every address, in every system is tagged with the appropriate UPRN. The list of reasons for address changes is far longer, yet what is consistent is the fact that all known changes will pass through a local authority. As the creators if NLPG, this means that as soon as a local authority is aware of a change, the NLPG will be updated, and as a consequence, as a user of the NLPG, you will be updated with those changes.
